How to Take and Manage Instagram Orders (2026)

We make MinglyLink. Put a shop on your bio link, so orders arrive with the items, quantities and the buyer’s details instead of scattered DMs. On MinglyLink’s free shop, each order lands in a dashboard where you move it from Pending to Delivered; the buyer is emailed at each step, with a tracking link. Buyers pay you directly, however you agree.

How we compared

We looked at seven ways US sellers take orders from Instagram and asked the same questions of each: what you need, where the order lands, what the buyer is told, and how the buyer pays. Every other cell links to the vendor’s own page, checked Sep 2026.

Where MinglyLink fits, and where it doesn’t

Best fit if you want every Instagram order in one list for $0 and are paid directly: by cash on delivery, bank transfer or your own payment link. Not a fit if you need card checkout on the page, automatic file delivery or live stock across channels: Stan Store, Beacons or Shopify cover those today.

How an order works

  1. The buyer orders

The buyer adds products to the cart and orders on your page. The order arrives as Pending, and you both get an email.

  2. You confirm and get paid

You set it to Confirmed and agree payment with the buyer: your own payment link, a bank transfer or cash on delivery.

  3. You prepare and ship

You move it to Preparing, then Shipped, and add a tracking number or link if you have one.

  4. Delivered

You mark it Delivered. The buyer gets an email at each step, with a link to follow the order, and replies reach you.

You can cancel or reject an order at any step. MinglyLink doesn’t take the payment or deliver files; you do.

Also free on the same page: booking, email capture, analytics, QR codes, video, SEO controls and a 60% share of the ad revenue from your page.

Order messages you can copy

Whatever tool you use, three short messages save most of the back-and-forth. Replace the parts in brackets.

  1. Order received: “Thanks, [name]! We’ve got your order for [items]. The total is [amount]. You can pay by [payment options]; we’ll ship within [time] of payment.”
  2. Shipped: “Your order is on its way. Tracking: [number or link]. Reply here if anything looks wrong.”
  3. Delivered: “Your order should have arrived. If anything’s missing or damaged, reply within [days] and we’ll sort it out.”

On MinglyLink, put your payment details in the Order Confirmation Message (Studio → Settings): it is added to the email the buyer gets when they order.

Stock

Most small Instagram sellers track stock by hand. MinglyLink has no stock count or sold-out switch yet, so update or remove a product when it sells out. If you sell the same stock in several places, a full store such as Shopify tracks inventory for you.

Common problems, and how to avoid them

  • Orders lost in DMs. Send every buyer to one order form, and keep DMs for questions.
  • Chasing payment. Put your payment details in the first message and agree payment before you ship.
  • Refused cash on delivery. Confirm the order and address by message before you send it, and ask repeat no-shows to pay first.
  • Wrong addresses. Ask for the full address in the order form, not in a chat, and read it back in your confirmation.

Prefer taking orders in WhatsApp? Our free WhatsApp link generator makes an “Order on WhatsApp” button with your message pre-filled.

US rules for you as the seller

These are your duties as the seller, not MinglyLink’s: MinglyLink provides the page and the order tools, and the sale is between you and your buyer.

  • Shipping times: if you promise a shipping time, you need a reasonable basis for it; if you promise none, you must be able to ship within 30 days. If you can’t ship on time, get the buyer’s consent to the delay or cancel and refund the order (the FTC’s Mail, Internet, or Telephone Order Merchandise Rule, 16 CFR Part 435).1, 2
  • Brand deals: if a brand pays you, gives you free products or you have another relationship with it, disclose it clearly in the post itself, for example with “ad” or “sponsored” (FTC Endorsement Guides, 16 CFR Part 255).3, 4
  • Sales tax: whether you must collect it is a state question, so check with your state’s revenue department.5, 6
  • Licenses: you need a federal license only for federally regulated activities; state, county and city licenses and permits depend on what you sell and where you are.7

Questions to ask any tool

Where does each order land: a chat, a list, or a dashboard with statuses?

Is the buyer told what happens next, without you typing it every time?

How does the buyer pay?
MinglyLink: 0% MinglyLink fee: buyers pay you directly (cash, transfer or your payment link).
Can one order hold several products?

Can you record a tracking number when you ship?

Frequently asked questions

How can I set up a system to take orders directly through Instagram?
Add a shop to the link in your Instagram bio, so buyers pick products and send one order with their details instead of a DM. With MinglyLink, every order lands in an orders dashboard, the buyer gets an email with a tracking link, and you move the order from Pending to Delivered. Keep DMs for questions, and send buyers to the link to order.
What tools or apps integrate with Instagram to manage customer orders smoothly?
Instagram’s own tools: product details and a “Get orders” sticker let buyers request orders in chat, and Instagram Shops send buyers to your website store to pay. Without a website, a link-in-bio shop (MinglyLink, Stan Store, Beacons) takes orders from the link in your bio, and the WhatsApp Business app lets buyers send a cart from your catalog in a chat. A full store such as Shopify covers everything, for a monthly fee.
Can I automate order confirmations on Instagram? If so, how?
Instagram itself doesn’t confirm orders taken in DMs. Take the order through a shop that emails the buyer: on MinglyLink the buyer is emailed when they order, with a tracking link, and each time you update the order, so you don’t retype confirmations. Saved replies in Instagram or WhatsApp help for the questions that still come in.
How do businesses track inventory when taking orders on Instagram?
Small sellers usually keep a simple stock list and update the shop when something sells out. MinglyLink has no stock count yet, so remove or update a product when it runs out. If you sell the same stock in several places, a full store such as Shopify tracks inventory for you.
What are common challenges when taking orders on Instagram and how to overcome them?
Lost orders in busy DMs, chasing payment, missing or wrong addresses, and buyers who refuse cash on delivery. Take orders through a form that captures the items, quantities and address; confirm each order in writing with the price and payment details; and agree payment before you ship.
What are the legal requirements for selling products through Instagram in the US?
General information, not legal advice: if you promise a shipping time, the FTC’s Mail, Internet, or Telephone Order Merchandise Rule expects you to meet it or tell the buyer and offer a refund; sales tax depends on your state; and you may need a business license. The US notes on this page link the official sources.
